Notiv™ is seeking an experienced and motivated Operations Manager to join our rapidly growing team. We are an early stage startup seeking a positive individual who can drive our operational effectiveness and team cohesion as we continue to grow. In this position, you will be responsible for day-to-day business operations, managing our main Brisbane office and providing executive support. Working closely with the founding CEO and CTO, the Operations Manager will play an integral role in the growth and culture of our company.

As Operations Manager at Notiv, you will be responsible to ensure smooth operations across the business, including administrative, financial, legal and HR aspects. This will be a key role working closely with the founders to establish processes and practices that empower company growth, and build a cohesive team.


  • HR administration including employee on-boarding, payroll support and maintaining employee records.
  • Proactively identify and resolve issues to improve the way we work together.
  • Own the office environment, keeping it organized and welcoming to our team and visitors.
  • Organize our weekly team lunches and other semi-regular team events.

Financial, Legal & Regulatory:

  • Ensure timeliness and accuracy of accounting and finance systems, managing external accounting and book-keeping providers.
  • Accounts payable, including corresponding with vendors, routing invoices for approval, entering them into accounting software, and setting up bank payments.
  • Produce monthly financial reports tracking actuals to budget.
  • Tracking employment agreements, consultant and vendor contracts, and routing them for signature.
  • Support executive team in timely preparation of regulatory filings (Australia and USA).


  • Improve internal communication to ensure information is timely and appropriate, particularly considering our geographically disperse team in Australia and the USA.
  • Preparation of investor updates and responding to investor correspondence.
  • Support executive team in preparation of board meetings and reports.

Requirements and Qualifications

  • Professional experience, preferably in a similar administrative position in a small, fast-paced organization or startup.
  • Qualification in relevant field (accounting, finance, legal, commerce).
  • A strong work ethic, and the ability to self-motivate and work with limited supervision.
  • Excellent follow-through and ability to track and deliver on a multitude of projects and tasks, prioritizing as necessary.
  • Superb organizational skills and attention to detail.
  • Strong communication skills, written and verbal.
  • Strong software and technology skills.
  • Passionate about being part of a growing team that is always striving to improve.
